How to Send Internal Notifications

Overview


AfterShip empowers users to proactively notify specific team members about crucial events such as shipment status changes, missed estimated delivery dates, or other issues, all aimed at enhancing the overall customer experience.


Steps to send internal notifications


  1. Go to Notifications > Flows in your AfterShip Tracking admin



  1. Choose the event for which you want to inform internal members or create from scratch.
  2. Click Edit to enter the flow editor.
  3. From under Actions, drag-and-drop the Send internal email or Send internal SMS block into the flow where you see the plus icon (+)



  1. Don't forget to customize the content of the email and SMS templates to suit your preferences after adding the block.
  2. Once you’re done, click Save and ensure that the flow is set to enabled.


Recipients of the notifications


When setting up internal email and SMS notifications within a flow, you will need to select the recipients for each notification. Recipients are the members of your organization, each assigned a specific role, either default or custom.


  1. Open internal email or SMS editor within the flow.
  2. Navigate to the Send to section from the Settings tabs.
  3. Select the recipient(s) of the email/SMS notification. You can choose between the following options


For email notifications:


  • Owner: The current owner of the organization.
  • All members: All the active members of the organization, irrespective of the role.
  • Specific members: You can select the members of the organization to whom you want to send the notification to.



For SMS notifications:


SMS notifications follow the same recipient selection options as email notifications, with one key difference: you can view the phone numbers of the organization's owner and members when selecting who to notify.


Phone number availability depends on two factors:


  • Whether the member has configured a phone number in their Profile settings.
  • The SMS settings (specifically the regions where you would like to send SMS to) you configured when setting up your SMS flows.


If you select the All Members option, SMS messages will only be sent to members with phone numbers set up in their profile settings and of the supported regions. Members without a phone number and from unsupported regions will be automatically skipped.




  1. Save the changes.
